Support and train Djeco teams in the implementation of their PLM system

Djeco, a world-renowned brand present in nearly 60 countries, has been a key player in the toy market for several decades. Much more than a simple distributor, Djeco stands out for its capacity for invention and creation, developing over 300 new educational toys, games and creative leisure activities every year.
To maintain its competitiveness and free up more time for creation, Djeco has undertaken a complete overhaul of its information system, starting with the implementation of a product lifecycle management tool (PLM Centric). In this context, they called on Fit Retail’s expertise to support and train their teams in the use of this new tool.

The challenge to solve 🤔

  • Explain and get Djeco teams on board with new business processes: Communicating changes effectively is essential if teams are to understand and adopt the new processes. This requires clear explanations and constant support to overcome resistance to change.
  • Quickly produce 11 training documents: The rapid creation of comprehensive training documents, complete with exercises and quizzes, is crucial. These documents must be easy to understand and interactive to facilitate learning and user autonomy.
  • Organizing and coordinating training days for 50 people: Managing training for a large group while covering 11 specific modules is a logistical challenge. Rigorous organization is required to ensure that sessions are effective and adapted to all skill levels.
  • Ensuring safe PLM implementation: Team support is required during the first two weeks of integration. This ensures that the tool is used correctly, and that any problems are quickly resolved.

The response

Our objectives 🎯

  • Training a team of experts: To reinforce our in-house mastery of the Centric 8 PLM tool, we have decided to form a team of five PLM referents, who will also act as administrators. These experts will be the pillars of in-house expertise, able to answer users’ questions, solve common problems, and guide teams in the optimal use of the tool. Their role is crucial in ensuring a smooth transition and maintaining a high level of skills throughout the company.
  • Getting all DJECO teams on board PLM Centric 8: The adoption of this tool by all teams is a major challenge for Djeco. Our aim is to get employees involved and on board by demonstrating the tangible benefits of PLM Centric 8 for their day-to-day tasks and overall productivity. It’s essential to show how this tool will not only facilitate their work, but also contribute to innovation and creativity, which are at the heart of Djeco’s identity.
  • Ensuring user autonomy: The sustainability of PLM implementation depends on the ability of users to be autonomous. Our aim is to ensure that each user, after training, has sufficient mastery of the tool to accomplish his or her tasks without constantly relying on external support.

  • Upstream qualification of needs: Before starting the training courses, we carry out an in-depth analysis of the specific needs of Djeco users. This step enables us to adapt content and teaching methods to the different profiles of learners, taking into account their initial skill level, their professional responsibilities and their familiarity with similar systems.
  • Building a team of trainers and upgrading new staff: To guarantee quality learning, we trained a team of expert trainers in the use of Centric 8 PLM, who were also brought up to speed with the specifics of the Djeco project.
  • Creation of detailed training documents: To facilitate learning and ensure the availability of long-term reference resources, we have created comprehensive training documents. These include step-by-step guides and detailed screenshots, and are easily accessible directly from the new PLM tool. These documents are used not only during training, but also as self-training and post-training support.
  • Organization of training schedules and management of invitations: We set up a rigorous organization of training schedules, including sessions before and after the launch of the tool to maximize learning efficiency.
  • Training delivery and assessment: During the training sessions, we used interactive teaching methods to encourage the active involvement and participation of learners. At the end of each session, a learning assessment was carried out to measure the participants’ level of understanding and assimilation of the concepts. These assessments enable us to quickly identify any additional training or coaching needs.
  • Post-training debriefing to measure learner satisfaction: We organize post-training debriefing sessions to gather feedback from participants. This enables us to measure their satisfaction, identify areas for improvement, and adapt our future approaches.

The benefits ✅

Our actions enabled Djeco to calmly get to grips with their new PLM tool. Training sessions enabled the teams to get through the summer following implementation without a hitch. The new processes have now been accepted, and the desired time savings are already being widely appreciated.
